A connected renewal

The renewal depended on too many handoffs

A commercial brokerage faced a familiar problem at renewal. Client changes arrived by email, existing policy information sat in the broking system, and staff assembled the details needed for insurer submissions. Each team checked and entered information again before completing its part of the work.

The issue was the path between the records. A correction made during quoting could still leave the service or accounting team working from an earlier version.

The client record became the starting point

The team used Ebix Evolution as the operating record for the account, with Sunrise Exchange providing the relevant Australian insurer connectivity. The renewal began with a review of the existing information and outstanding client questions.

The workflow carried agreed details into the next stage and kept follow-up tasks attached to the account. Staff reviewed the transaction types and fields supported by the integration, with explicit checks wherever information still required manual handling.

Changes stayed with the transaction

When the client revised a detail after quoting, the change stayed visible within the renewal work. The responsible person checked its effect on the insurer submission and the operational record. The team no longer treated the latest email as the only explanation of what had happened.

The important design choice was ownership. Each outstanding question had a next action, and completing the renewal included checking the issued contract and the records needed for accounting.

The operating difference

The process moved the emphasis from reconstructing an account to reviewing and completing it. The service team worked from the current record, while exceptions remained visible until someone resolved them.

The value lay in a consistent completed transaction. Client service, insurer communication and accounting were connected through the renewal record, with less dependence on an individual colleague to explain what had changed between systems.

THE PRACTICAL POINT

Follow the renewal through to the final operational record.
