Every vendor brought another set of obligations
For a construction company working with thousands of vendors, insurance compliance was a continuing responsibility. A certificate collected at onboarding could expire while a project was still under way. Different trades and contracts brought different requirements, and a document on file did not necessarily mean those requirements had been met.
The company needed a consistent way to see where vendor insurance stood, follow up on outstanding items and keep unresolved gaps visible. The stakes extended beyond administration. Missing or inadequate coverage could leave the business exposed when an accident, injury or property damage claim arose.
Ebix RCS brought the work into one process
The company used Ebix RCS to organize vendor insurance records and manage compliance against its requirements. Collection, review and follow-up became part of a shared process instead of a series of separate document requests.
The work focused on whether the evidence met the requirement. Coverage limits, effective dates and required supporting documents mattered alongside receipt of the certificate itself. Outstanding items remained visible until they were resolved or referred for a decision.
Compliance continued after onboarding
Renewals and changing vendor records were managed as ongoing work. The team could follow up on expiring documents and incomplete submissions without losing sight of the wider vendor population.
Exceptions also received clearer attention. Rather than treating every record as complete once a document arrived, the process distinguished compliant records from items that needed correction or further review. That gave the company a more useful basis for managing vendor risk.
Less exposure, with clearer accountability
The company successfully managed insurance compliance across thousands of vendors and reduced its exposure to potentially significant uninsured liabilities. Coverage gaps were addressed through a repeatable process, with clearer responsibility for follow-up.
The benefit was a more dependable control across the vendor network. Project and risk teams had better visibility into unresolved requirements, while the business relied less on fragmented records to understand its position. Insurance compliance remained an active part of managing construction risk throughout the vendor relationship.
At construction scale, collecting certificates was only the start. Keeping requirements, renewals and exceptions under control made the difference.
